Sending on behalf of shared mailbox in Outlook

Tags: exchange, email, outlook, setup, shared

When you have been provided access to a shared mailbox, including send on behalf permissions, you will notice that the shared mailbox has become visible as a new inbox in MS Outlook desktop version.

When responding to emails that have been delivered to a shared mailbox, you will automatically use the shared mailbox email address as the "from" address. However, to have more control over the "from" address, you can display the "From" field when composing an email in MS Outlook.

If you are using the desktop client:

  1. Open a new email
  2. Click on Options on the row of tabs at the top of the email
  3. Click the From button (and the BCC button if required)

Showing the From field in Outlook client

If you are using the online client (webmail):

  1. Open a new email
  2. Click on ... at the end of the row of options above the email
  3. Click the Show From option (and repeat for the Show BCC option if required)

Your emails will now, in addition to the usual "To" field, also display the "From" field. Click on the "From" button to select or enter from which email address your new email will be sent.
